Organising a School Trip
There are many things to consider and arrange, but luckily we’ve done it all before – in fact we’ve been doing it since 1967!

Step 2 : Talk through your options
By chatting to one of our Educational Travel Advisors, you’ll have access to a wealth of knowledge and experience. Not only will they be able to answer your questions, but they might even suggest options you hadn’t already thought of. They’ll be able to tell you what other teachers have chosen to do on tour and give you an insight into the feedback they’ve given us too.

Step 3 : Provisionally book your tour
Once you’ve made up your mind, give us a call and we’ll provisionally book your tour.

Pencil it in
We’ll check and hold travel and accommodation options for your chosen dates, leaving you time to promote your tour to students and parents – and you won’t be under any obligation to book.
Step 4 : Download a few handy documents
Once you’ve provisionally booked, there are a lot of things to consider and read up on. To make your life that bit easier, we’ve compiled some handy downloadable documents and guides below. This information will prove invaluable throughout the planning of your tour and

This handy guide takes you through each stage of the booking process. Whether you want information on passports and visas or on how to create your ideal itinerary, our most frequently asked questions have been answered here.
Safety Management Policy
This document provides an overview of our commitment to the management of safety on tours, and how we make sure that all reasonable safety measures are taken. This policy document could assist you in getting approval in the early tour planning stages, and the advice provided in our Risk Assessments Explained booklet (see the next screen) complements current good practice too.

Step 5 : Preview visits & risk assessments
Once you’ve provisionally booked, now would be the ideal time to consider whether you’d like to take a Preview Visit to be sure you’re getting exactly the right tour before you travel.

Complimentary stay
We can arrange a two night complimentary stay for two people in your chosen destination. This will provide you with an opportunity to try out your chosen accommodation and confidently complete your own risk assessments. Step 6 : Promote your tour
Once you’ve provisionally booked, you’ll need to get started on promoting your tour to students and parents. We can help you do this!

Step 7 : Book your tour
Once you’ve generated enough interest amongst students and parents and have decided to go ahead, you’ll need to collect deposits and fill out a booking form, which you can download below.

When you’re ready to book, simply fill out the relevant booking form to confirm your tour details. You’ll find our booking terms and conditions on these forms too.

Confirm your booking with deposits and we’ll provide you with a payment schedule and student payments cards to help you organise the collection of payments.
Step 8 : Tailor-make your tour
Once you have booked your tour, you’ll work closely with your own dedicated Educational Tour Co-ordinator who will be a school travel expert in your chosen destination. They’ll discuss your tour objectives and work with you to build and arrange a programme of visits that meet your exact earning objectives – helping you to make the most of your time away.
